Automated File Status Change Notifications


The System has a new function linked to the change of Status for a file. The new code allows for the assignment of an automated Task notification of the Change in Status for a file to an identified User or Users. The original option to send manual Tasks is still retained.

This new function is accessed from the Company Summary screen under a Blue Bar, Automated Tasking by File Status Change. The Blue Bar will display a full listing of all Folders and any assigned Users by Status Change for a Folder.


When you select Edit, the Folder select screen displayed, will display all Folders for the Company and indicate if they have been edited with Task assignments. 

The Folder List will vary by the Folder Type settings for the Company. 
Selecting a Folder with or without a prior assignment will place you on the assignment screen with a shuffle box for each. 
The possible Status changes will vary by Folder based on the Permissions of the Roles for the Company.

When a User or Users are shuffled to the Selected box they will get a Task notice anytime a File in the Selected Folder changes to the Status indicated. This function works for both internal and external Users. The automated function cannot be managed by the User changing the File Status.

The Tasking generated follows the logic of the current Tasking, with the exception, that the User who Changes the Status of a File does NOT receive a Task on their screen only the recipient(s) receive the Task. If there are multiple Users assigned the Task the Tasks are linked and ALL Tasks will close when any one of the Users completes the Task.
